Payment is an important aspect that confirms your booking for treks, tours, domestic flights, and helicopter trips. Adventure Friendship kindly requests you to carefully read our terms and conditions before making any payment, so you are fully aware of the policies regarding your journey with us in Nepal, Tibet, and Bhutan. By making a payment, you acknowledge and agree to abide by these terms and conditions.

Booking Guidelines

First, you need to select a Trek, Tour, or Helicopter trip that interests you. Adventure Friendship offers hundreds of trekking and tour packages that can be customized according to your requirements and time schedule.

You may either:

  • Choose from our Fixed Departure trips, or
  • Directly select a tailor-made package and proceed with booking.

Booking Conditions

  • Adventure Friendship provides a secure online booking system for all Helicopter Trips, Tours, and Treks in Nepal.
  • For a fully guaranteed departure, 100% of the trip cost must be paid at the time of booking.
  • Alternatively, you may confirm your booking by paying 30% to 50% of the total package cost, depending on the type of trip.

Special Booking Requirements:

  • A minimum 50% deposit is required for itineraries that include:
    • Multiple domestic flights
    • Special Restricted Area Permits
    • Luxury hotels (4–5 stars) in mountain areas or cities
  • A 100% deposit is required for all internal/domestic flight tickets at the time of booking to secure confirmed seats.

The remaining 50–70% balance must be paid either at our Head Office in Kathmandu or upon arrival in Nepal, before trip departure.

Booking costs are used for:

  • Entry permits
  • Domestic and helicopter flights
  • Accommodation arrangements
  • Airport/hotel transfers, etc.

Once you confirm your trip, we will send you a secure payment link along with detailed booking information.


Cancellation Policy

Free Cancellation

  • You may cancel your booking free of charge up to 90 days before departure for any Helicopter Trip, Tour, or Trek in Nepal, Bhutan, or India.
  • After 90 days, deposits are non-refundable.

Cancellation & Refund Policy for Nepal Tours & Treks

  • 90+ days before departure: Full refund (minus 10–15% administrative fee)
  • 89–50 days before departure: 30% cancellation fee
  • 49–20 days before departure: 40% cancellation fee
  • 19–10 days before departure: 50% cancellation fee
  • Less than 10 days before departure: 75% cancellation fee
  • On or after departure date: No refund

Trip Postponement

  • If Adventure Friendship cancels your trip due to unforeseen weather conditions, political unrest, government restrictions, or similar reasons, we will offer you the option to postpone your trip for up to 3 years or choose an alternative trip.
  • Cash refunds are not provided in such cases.
  • Postponed bookings remain valid for up to 3 years from the postponement date.

Refund Policy

  • Refunds (where applicable) will be processed within 20 business days of confirmation.
  • Any bank charges, card processing fees, or third-party transaction fees are non-refundable.
  • A refund receipt/transaction proof will be provided once processed.

Insurance

Adventure Friendship does not sell insurance policies. Clients are strongly advised to purchase comprehensive travel and health insurance in their home country, which should cover:

  • Trip cancellations
  • Medical expenses
  • Evacuation (including helicopter rescue, if required)

We can provide official documentation to support your insurance claims if needed.

Policy for Helicopter Tours & Services

  • 100% upfront payment is required to confirm helicopter tours, pick-up, or drop-off services.
  • Flights are subject to weather conditions and air traffic control clearance.
  • If a helicopter trip is canceled due to bad weather or operator’s inability to provide services, you may either:
    • Postpone your trip, or
    • Receive a full or partial refund (as agreed).

⚠️ Important:

  • If you cancel after confirming helicopter services (e.g., pick-up from Everest region), you are liable for full payment, regardless of whether you use the service.
  • We strongly recommend keeping 1–2 buffer days in your schedule for helicopter-related trips.

Last-Minute Bookings

  • We accept bookings up to the same day of departure for trips in Nepal.
  • Full payment is required at the time of last-minute booking.

Requirement: A photocopy of your passport is mandatory for flight bookings, permits, and trek processing.

Staff Insurance

  • All Adventure Friendship staff (guides, porters, and crew) are insured by the company.
  • Client insurance, however, is their own responsibility.

Payment Methods

You can make payments to Adventure Friendship via:

  • Cash (in Nepal)
  • Secure Online Payment your cards
  • Bank Transfer
  • Other recognized online systems

Upon successful payment, you will receive:

  • An online confirmation receipt, or
  • A money-paid invoice
